Who it’s for

  • Housing officers on routine estate walkabouts
  • Housing teams leading joint walkabouts with residents and council services
  • Factors and property managers walking shared grounds

What you record

Walk the estate and add an item for each thing you look at, area by area, rated good, acceptable, poor or unacceptable, with up to 10 photos you can mark up. Where action is needed, say what, who by and by when, and mark the items a resident raised on the day. Give the estate an overall rating at the end.

For housing officers walking tenement and estate housing in Scotland, on their own or with residents, councillors and council services. Items in good order are recorded too, so the report shows what was looked at, not only what needs action.

Actions can go to the landlord’s own teams or to others, such as the council, the police or an owner or factor, each with a target date. Items raised by residents on the day are marked, and the actions from the last walkabout can be noted at the start.

What the report contains

  • A cover with your logo and colours
  • Contents, and what the walkabout covers and doesn't
  • Who took part and the overall rating
  • Each item with its rating, action and photos, numbered and dated
  • A summary of items
  • Your name and signature where the report is signed off

Written with reference to

  • Scottish Social Housing Charter (November 2022), outcome 6 (estate management, anti-social behaviour, neighbour nuisance and tenancy disputes)
  • Scottish Housing Regulator: Annual Return on the Charter, indicator 13 (tenant satisfaction with the landlord's contribution to the management of the neighbourhood)

The template follows these as they stood when it was written. It isn’t legal advice, and using it doesn’t make an inspection compliant: that’s for the person carrying it out.
